4 Ways To Personalize Your Wedding Photography Email Templates

Capturing wedding photos is a very personal business. You forge connections and relationships with your couples that extend beyond the I Do’s. So, when it’s time to personalize your email templates, it’s important that they’re authentic and actively help build that relationship from the very first email.

After all, even though you’re ready to automate pieces of your business, it doesn’t mean it should come at the price of feeling automated.

Today, I’ll give you my 4 tips to personalize your wedding photography email templates.

Find And Replace The Basics

The first step in personalizing your wedding photography emails is to personalize the basics. Most email templates come with filler information for you to replace with your business details. These are typically “basic” business information like your business name, signature, logo, and website link. 

You wouldn’t believe how easy it is to forget to update these! 

If you’re using a Tografy email template, it’s as simple as a few clicks. Once you open your template, there’s a quick-key with shortcodes you can plug into the “Find and Replace” tool. Simply add the information once that you want to personalize and your document will personalize all your information across every email at once. 

Personalize For Both Partners

Another great way to personalize your email templates is to personalize them to your client. The most powerful personalization is to include mentions of their partner, venue, and wedding date in your emails. 

How do you do this in an email template? The CRM Hack I like to use is to see if your CRM allows you to include an “alternative contact” for clients. These are traditionally supposed to be other points of contact for the client, but it’s perfect to use for the spouse’s name!

Simply include a spot for people to give you their spouse’s name in your website contact form and use the “alternative contact” block to do it. Then, include your CRM’s shortcode for alternative contact in your emails to address the person who inquired and their partner. 

Here’s an example of how you could use it in your initial inquiry response:

“I can’t wait to hear more about the plans you and [spouse/alternative contact] have in mind!”

This establishes a connection right away and shows them you’re taking the time to read their inquiry.

Know Your Brand Words

My email templates were written to let your personality pop off the screen. Even still, we all have certain words or phrases (or emojis) that we use all the time. For me, it’s the text-based smile. =) For you, it may be that you say the word “steller” a lot or end all your emails with “Lots of love!” 

I call these “brand words”. They’re little voice and texting quirks that are unique to your brand and your real mannerisms. Think about what your “brand words” are and include them in your email templates. As you’re reading through, find little holes to drop them into.

Your emails will feel as if your client is actually talking to you (not just a canned email!).

Go Ahead, Add The GIF

When you purchase one of my wedding email templates, you get a Word Document with all the email copy, text message scripts, and cadence you need. It’s an entire client experience workflow, mapped out in black and white (and blue). 

But we rarely just use text in our communication with friends and family. Just text can be boring. So, it’s ok to bring more personality into your business email templates.

Add emojis, text-based smilies, and GIFs to your emails. Don’t go overboard! You still want to keep it professional. Feathering in one or two throughout the entire workflow is fine. I’ll even help you by giving you some of my favorite GIFs to use for wedding photographers.

Your Wedding Photography Email Templates Don’t Have To Be Boring

All GIFs aside, personalizing your wedding photography email templates is an essential step toward building a strong relationship with your clients. While it’s not necessary to do so, it goes a long way to show your clients that you value their business and are willing to go the extra mile to make them feel special. Don’t be afraid to inject your personality into your email templates!
